Terms and Conditions

1. Definitions

  • "Company" refers to Luxury Line, the provider of the motorhome hire service.
  • "Hirer" refers to the individual(s) hiring the motorhome.
  • "Vehicle" refers to the motorhome or campervan being hired.
  • "Agreement" refers to this hire agreement including the rental form, terms, and conditions.

2. Booking & Payment

  • A non-refundable booking deposit of 20% is required to secure the reservation.
  • The balance must be paid in full at least 30 days before the hire date.
  • If booking within 30 days of departure, full payment is required at the time of booking.

3. Security Deposit

  • A refundable security deposit of £750 is required on collection via credit or debit card.
  • This deposit covers damage, traffic fines, toll charges, or other costs incurred during the hire.
  • The deposit will be refunded within 7 working days of return, minus any deductions.

4. Hire Period

  • The hire period starts and ends at the agreed times. Late returns may incur a fee.
  • Early return does not qualify for any refund.

5. Driver Requirements

  • Drivers must be aged 25 to 75, with a full UK or EU licence held for at least 2 years.
  • Maximum of 6 points on licence accepted. Certain endorsements may prevent hire.
  • Additional drivers must be declared and approved prior to hire.

6. Insurance

  • Driver Documentation Requirements
    Copy of the photo card driver's licence (must show current address and valid ID)*
    Online DVLA licence check (mainland UK licences only)*
    Two separate proofs of address from the accepted list below*
    Cleared and traceable security deposit (via BACS, Credit/Debit Card, PayPal, etc.)
    Signed rental agreement
    VE103 certificate required for travel to the EU (Green Cards no longer required from 1st August 2021)
  • Eligibility Criteria
    Must meet age requirements stated in policy
    Minimum of 2 years driving experience
    Accepted licences: Full UK, EU, Australian (AU), and New Zealand (NZ)
    No more than one fault or outstanding incident/claim in the past 3 years
    Some driving offences are acceptable-see below.
  • Driving Offence Cover
  • Two 3-point offences (codes: SP, TS, or CU) – Covered as standard
  • Single 4 or 6-point offence (codes: SP, TS, or CU) – Covered as standard
  • Three 3-point offences (9 points total) with codes SP, TS, or CU – Covered with an additional £500 insurance excess
  • Accepted Proofs of Address (two required from separate sources):
    Electricity bill
    Water bill
    Gas bill
    Broadband/Landline bill
    Council tax bill
    TV licence
    Bank statement
    Credit card bill/statement
    Mortgage statement
    Polling card
  • Comprehensive insurance is included for approved drivers.
  • The Hirer is responsible for the insurance excess of £1000 in the event of any claim.
  • Personal belongings are not covered—travel insurance is strongly recommended.

7. Breakdown & Accidents

  • All vehicles include UK roadside assistance and breakdown cover.
  • In the event of an accident, the Hirer must notify the Company immediately and complete an accident report.
  • Any unauthorised repairs will not be reimbursed.

8. Use of the Vehicle

  • The Hirer agrees to:
    • Not drive off-road, on unpaved roads, or in restricted areas.
    • Not carry more passengers than the seatbelt provision.
    • Not smoke in the vehicle.
    • Not tow any trailer or vehicle without prior approval.
  • Wild camping is only permitted where legally allowed.

9. European Travel

  • Travel to EU countries is permitted only with prior written consent.
  • Additional charges apply for European insurance and breakdown cover.
  • The Hirer is responsible for any tolls, vignettes, or local driving laws.

10. Fuel, Water & Waste

  • Vehicles must be returned with the same fuel level as supplied.
  • Toilet cassettes and waste tanks must be emptied and cleaned before return.
  • Charges apply for unemptied cassettes or tanks.

11. Cleaning

  • The motorhome must be returned in a clean and tidy condition.
  • Excessive cleaning will incur a charge.
  • No cleaning charge applies for normal wear and use.

12. Pets

  • Pets are allowed at an additional cost of £30 which can be added as an extra before payment.
  • Additional cleaning fees or damage charges may apply.

13. Smoking

  • Smoking is strictly prohibited in all vehicles.
  • A loss of deposit if the hirer violates these rules.

14. Cancellations & Refunds


• All cancellations must be made in writing (email is accepted).
• A 20% deposit is required at the time of booking. This deposit is non-refundable.

Refund Policy
• More than 31 days before the hire date:
You’ll receive a full refund, minus the 20% non-refundable deposit.
•14 to 31 days before the hire date:
You’ll receive a 50% refund of the total hire cost.
(Minus the 20% deposit)
• Less than 14 days before the hire date or no-shows:
No refund will be given. You will lose both the deposit and any remaining balance paid.

Please note:
We are unable to offer refunds for early returns or late pick-ups.


15. Company Responsibilities

  • The Company will provide a clean, roadworthy, and fully functional motorhome at the start of hire.
  • If a vehicle becomes unavailable, the Company reserves the right to substitute an equivalent or upgraded vehicle at no extra cost.

16. Hirer’s Responsibilities

  • Ensure proper care, security, and use of the vehicle.
  • Report any incidents, damage, or breakdowns immediately.
  • Return the vehicle at the agreed time, location, and in the condition supplied.

17. Traffic Offences & Fines

  • The Hirer is responsible for all fines, penalties, tolls, and legal costs resulting from their use of the vehicle.
  • The Company may charge an administration fee for processing fines.

18. Data Protection

  • The Company will retain your personal data only for the purposes of managing your hire.
  • Data will be stored securely and will not be shared with third parties unless required by law.

19. Force Majeure

  • The Company is not liable for any delay or cancellation caused by circumstances beyond its control (e.g. natural disasters, pandemics, government restrictions).

20. Governing Law

  • This agreement is governed by the laws of England and Wales. Any disputes will be handled by the courts of England.
